What we collect
When a caller phones a business using CallForge, we collect the call recording, a transcript of the conversation, the caller's phone number, and any booking details provided during the call (name, service requested, appointment time, service address). If an appointment is booked, we send a text message confirmation to the phone number provided during the call, and — if the business assigns a technician to the job — a text message with job details to that technician's phone number.
How we use it
This information is used solely to operate the AI phone receptionist service: answering calls, checking availability, booking appointments, syncing bookings to the business's connected CRM, sending appointment confirmation texts, and notifying assigned technicians. We do not sell caller or customer data, and we do not use it for advertising.
Disclosure and consent
Every call is opened with a mandatory spoken disclosure that the caller is speaking with an AI assistant and that the call may be recorded. Sending a booking confirmation or job-assignment text message is a direct continuation of that same disclosed, consented interaction.
Google Calendar
A business may optionally connect its own Google Calendar. When connected, CallForge creates a calendar event on that business's calendar for each appointment it books (the service, customer name and phone number, address, and any notes taken during the call), and removes that event if the appointment is later cancelled. CallForge's own records remain the source of truth; access to Google Calendar data is used solely to create and remove these appointment events, is never sold, and is never used for advertising. A business can disconnect this at any time from its own dashboard, which stops any further calendar access immediately.
HubSpot CRM
A business may optionally connect its own HubSpot account. When connected, CallForge creates or updates a Contact in that business's HubSpot account for each caller (phone number, and name/address when known from a booking) and adds a note summarizing each call. This data is used solely to keep the business's own CRM up to date, is never sold, and is never used for advertising. A business can disconnect this at any time from its own dashboard.
SMS messaging
Text messages are sent only after a live phone call where the caller was disclosed to and provided a phone number for booking purposes, or to a technician a business has added to its own team. Message and data rates may apply. Reply STOP to any message to opt out of further texts; reply HELP for help.
Data retention
Call recordings, transcripts, and booking data are retained only as long as necessary to operate the service and to meet the business's own record-keeping needs, and can be deleted on request.
